Dear Customer,
We inform you that, for the establishment and execution of the contractual/commercial/information relationships currently in place with you, our company is or will come into possession of data acquired directly from you or through third parties, relating to you, which are classified as personal data under the law.
Pursuant to Articles 13 and 14 of European Regulation 679/2016 (GDPR), we inform you that the processing of your personal data will be carried out in accordance with the principles of fairness, lawfulness, transparency, and protection of your privacy and rights.
If the Customer uses external intermediaries (e.g., travel agencies, OTA websites, etc.), the data controller will receive the following categories of personal data through such intermediaries: identification and personal details, contact information, bank details and/or other payment method information.
Pursuant to the aforementioned regulations, we provide you with the following information. Please note that in the event of a stay at Hotel Colorado, you will receive a more detailed privacy notice covering also the processing of personal data carried out during your stay at the property.
a) DATA CONTROLLER

You may contact the controller at any time for any clarification and/or request relating to the processing of your personal data.
b) PURPOSE AND LEGAL BASIS
Data are collected and processed, including through electronic procedures, for the following purposes:
b1) To receive and confirm your request for accommodation services and related services, provide the requested services, and handle any other related pre-contractual or contractual needs, including responding to questions or requests sent through the “contacts” form on the website.
Legal basis: performance of a contract to which the customer is a party and/or the execution of pre-contractual measures.
b2) To comply with legal obligations (Article 109 of Royal Decree 773/1931 requires that the personal details of guests be communicated to the Police Headquarters), including administrative, accounting, and tax obligations.
Legal basis: compliance with legal or regulatory obligations.
b3) To send useful information, including information of a commercial nature, relating or connected to the requested service (for example reminder emails, updates on rates or promotions). You may object to this processing at any time, either immediately or upon receiving future communications, by sending an email to: info@hotelalcigno.it.
Legal basis: legitimate interest of the data controller.
b4) To verify IT access to the domain hotelcolorado.net in order to prevent and/or prosecute possible abusive conduct.

c) RECIPIENTS
Without prejudice to communications required by law, data may be disclosed in Italy to: authorized internal staff, consultants and professionals related to our business who will process the data, depending on the case, as data processors or independent data controllers (e.g., accountant, labor consultant, accounting data processing centers, legal consultants, banks and insurance companies, suppliers of goods and services), Public Security authorities, and public offices and entities in order to comply with legal obligations.
d) DATA RETENTION PERIOD
For the purposes referred to in point b1): for the duration of the contractual relationship; however, some personal data may or must continue to be processed for the purposes indicated in the following points.
For the purposes referred to in point b2): the data communicated to the Police Headquarters are not retained beyond the duration of the stay, unless such processing is necessary to fulfill administrative, accounting, and tax obligations of the data controller. Data necessary for compliance with such obligations (and to prove such compliance) are retained for 10 years, with possible extension in case of disputes or tax investigations.
For the purposes referred to in point b3): data are retained for no longer than two years.
For the purposes referred to in point b4): data are retained for no longer than six months, unless an extension is required if a violation occurs that must be investigated.
e) MANDATORY OR OPTIONAL NATURE OF DATA PROVISION
The provision of data is mandatory for the purposes indicated in points b1) and b2) (pre-contractual, contractual, and legal obligations). Therefore, refusal to provide such data may make it impossible to host you at our property and/or activate the requested service.
The provision of data is optional for the purposes referred to in b3). You may object at any time to the processing of your data for this purpose, either immediately or upon receiving future communications, by sending an email to info@hotelalcigno.it, without affecting the contractual relationship in any way.
f) TRANSFER OF DATA TO A THIRD COUNTRY OR INTERNATIONAL ORGANIZATIONS
Within the scope of managing the contractual relationship, no transfer of data to non-EU countries or international organizations is envisaged.
g) RIGHTS (Articles 15–22 EU Regulation 2016/679 – GDPR)
We inform you that you are entitled to all the rights granted to European citizens under the GDPR, including the following most commonly exercised rights:
confirmation as to whether or not personal data concerning you are being processed and, where that is the case, access to the data (right of access);
the possibility of obtaining a copy of the personal data provided and transferring the data directly to another controller indicated by you (right to data portability);
correction or completion of your personal data (right to rectification);
deletion of any data for which there is no longer a legal basis for processing (right to erasure / right to be forgotten);
withdrawal of consent, where processing is based on consent, without affecting the lawfulness of processing based on consent before its withdrawal (right to withdraw consent);
restriction of processing in the cases provided for by the GDPR (right to restriction of processing);
objection where processing is based on legitimate interest or is necessary for the performance of a task carried out in the public interest or in the exercise of official authority (right to object);
the right to lodge a complaint with the Supervisory Authority (in Italy: the Data Protection Authority – Garante per la Protezione dei Dati Personali) (right to lodge a complaint).
